Client Service Advisor

Job Description 

The Client Service Advisor is a broad-spectrum critical thinker who manages multiple ongoing requests from various sources and prioritizes efficiently supporting our clients and Advisors. This individual has unparalleled organizational skills and attention to detail. They can anticipate client and Advisor needs while utilizing various platforms and information sources. Repetition of uncomplicated tasks is not a common part of this role, and creativity, mindfulness, and logical reasoning are imperative daily. The Client Service Advisor is initiative-taking, has a powerful sense of urgency and responsiveness, and works well both independently and with a team. Creating a prompt, and exceptionally positive service experience for our clients is the number one priority, along with having fun while doing so! 

ESSENTIAL JOB FUNCTIONS 

  • Be the first and last line of defense related to firm clients’ welfare while assisting investment Advisors in providing the highest level of service during all stages of the relationship 
  • Provide service to clients professionally by responding timely to both regular and varied account-related inquiries via electronic means, written correspondence, telephone, video or in person
  • Open, close and maintain investment accounts 
  • Process account transfers, cash, and asset movements for qualified and non-qualified accounts, facilitate securities and mutual fund trades, alternative investment purchases, capital calls, transfers, and distributions, and prepare or update and send out monthly/quarterly asset, performance, or tax information reports
  • Prepare and understand documents that may be complex, with an exceedingly high and  consistent accuracy rate. Examples are new accounts, transfers, money movements, retirement  plans creation and distributions, management agreements, investment policy statements, and  sub docs for alternative investments 
  • Identify issues requiring instant elevation to the Operations Manager, Investment Advocates, or Chief Compliance Officer 
  • Maintain the integrity of best practice procedures and compliant paperless recordkeeping (Company, CRM, custodian, and investment manager records) 
  • Work in tandem with our custodians and investment management partners and their service teams to provide the client with timely and accurate responses  
  • Assist with overall SIA team workload, projects, firm initiatives, and various other duties as assigned by the Investment Advocates or Investments Operations Manager 

KNOWLEDGE, SKILLS and ABILITES:  

  • Education: Bachelor's degree or commensurate experience  
  • At least 3 years' professional experience in a financially oriented field with customer service focus preferred (securities, banking, insurance, corporate finance). Experience supporting financial advisors within an RIA firm or broker dealer branch office preferred
  • Current working knowledge in MS Office Tools for creating client presentations and spreadsheets 
  • Maintain detailed notes in our CRM and be able to stay extremely organized while balancing multiple tasks at once         
  • Strong intellectual curiosity for understanding complex financial products and legal/business concepts 
  • Independently value and execute proactivity and accountability, and seek process improvement  
  • Strong organizational and time management skills; must be able to establish priorities and execute them with minimal assistance 
  • Exceptional level of accuracy, attention to detail, and sense of urgency 
  • Strong people skills with a friendly and professional demeanor   
  • Team and results oriented, including comfort with being very persistent, escalating and researching issues, and enforcing compliant and efficient processes both personally and with others 
  • Discretion/confidentiality a MUST in this position 
  • Strong written and verbal communication skills to be able to explain complex concepts to our clients and their financial and legal Advocates
